For agencies & studios · Free while we're in beta

You started a studio. You didn't sign up to run the schedule.

You're the one who knows who's free, who's slammed, and whether you can promise the client Friday. Coordn8r builds the plan for your team — who does what, by when, and what it'll cost — so that's not you at 10pm with a spreadsheet. Nothing books until you say go.

Free while we're in beta. Built for teams up to 25. No card.

Fitted around Leo's Friday off. Nothing books until you approve it.

Sound familiar?

Running a studio means holding the whole schedule in your head — whether you signed up for it or not.

You know who's free, who's buried, what's running late, and what you promised which client. It lives in your head, a spreadsheet, and everyone's calendars. Then a client moves a date, someone's out sick, a new project comes in — and you're re-working the whole week, saying yes to everything until something (or someone) gives.

It doesn't have to be you.

“Can we take this on, or are we already slammed?”

“Can I promise this client Friday?”

“Someone's out — who covers the deadline?”

“I'm the one sorting the schedule at 10pm.”

Think about last Sunday. How long did sorting out the week actually take? Now picture getting that time back — and knowing your answer to “can we hit it?” before you give it.

Every other tool just holds your to-do list and leaves the planning to you. Coordn8r does the planning — and the re-planning — for you.

That's the whole point.

01 Plan it

A new brief lands. You get a real plan — not a blank board.

Tell Coordn8r what the client needs — type it, forward the email, or drop in the scope you already sent. It builds who does what by when, checks whether you can actually hit the date, and shows you what each way costs, because it knows each person's rate.

“New site for Meridian, live by the 20th.”

In a moment you get the steps, the right people, and the dates — fitted around the meetings and time off already on their calendars.

Priced three ways. You pick the trade-off.

Only the people who can actually do each piece are in the running — so “cheapest” puts the work on the cheapest person who's qualified, and “fastest” on whoever's free soonest.

Cheapest $4,200 · ready the 24th
Fastest $5,600 · ready the 17th
Optimal $4,800 · ready the 20th — hits their date

Can't hit the 20th with the team you've got? It tells you the soonest you actually can — before you promise it to the client.

From “new brief” to “here's the plan, and here's what it costs” — without you touching a spreadsheet.

02 Repeat it

Your repeat work, down to one line.

Most of your projects rhyme — a brand build, a website, a monthly retainer. Slightly different every time, but basically the same shape. Tell Coordn8r once how a website build goes, and the next one is a single sentence. It fills in the steps, picks who's free this time, and fits it to the new dates. You're not rebuilding the plan — you're reusing it.

Same shape, new client — fitted to who's free this time.

No starting from scratch.

Your best run of a project becomes the default for the next one.

Still fitted to reality.

It re-checks who's free and re-times to the new deadline — not a blind copy-paste.

Gets sharper over time.

Tweak a template once and every future job inherits it.

03 Keep it on track

It catches what you'd miss — and hands you the fix.

Coordn8r keeps an eye on every job. When something's about to go sideways, it flags it early and shows you the fix, ready to approve. You're not hunting for problems — they come to you, already solved.

One tap. Nothing changes until you approve it.

The plan doesn't just get made. It stays true.

What else you get

It sweats the details, too.

Say “yes” to clients with confidence.

Know whether you can hit a date before you promise it — and the soonest date you can.

The right person — and the right lead.

It knows who's able to do what and who you'd want leading — not just who's free. Connect your calendar and it plans around real life, so nobody's double-booked and nobody's idle.

Clients see a business that's on top of it.

Coordn8r can tell your clients when their work is done — and take their change requests — so you look buttoned-up without the chasing.

It learns how you work.

The more you use it, the more it works the way you do — your usual steps, your people, your defaults.

Your business stays yours

Built to be trusted with real work.

Client details, deadlines, your team's time — it's sensitive, and we treat it that way.

We don't sell your data — ever.

And we never use your work to train public AI models. What's yours stays yours.

Your calendar stays private.

Connect it and Coordn8r works around when people are free or busy — never the private details of their day.

Nothing happens behind your back.

It shows you a plan first and changes nothing until you approve it. Disconnect or delete your data anytime.

Why I built this

Why I built Coordn8r

I ran a medium-sized business for years, and I was good at the work. What I wasn't good at — and honestly enjoyed the least — was the other job nobody warns you about: keeping everyone on the same page, all rowing toward the same goal. Knowing who was doing what, whether we'd hit the dates I'd promised, who had room and who was drowning.

That part lived in my head, a spreadsheet, and a hundred small worries. It ate my evenings. And the moment something moved — a sick day, a client pushing a date — I was the one re-planning the whole week at 10pm.

I built Coordn8r so you don't have to do that. So the juggling and the planning stop being your job, and you get to spend your time on the work you actually got into this to do — not on managing tasks and calendars.

Questions

Questions people ask.

Is this complicated to set up?

No. Tell it a bit about your business and it gets you going in minutes — it already understands how businesses like yours tend to work.

Do I have to enter everything perfectly?

No. Start rough. The more it knows about your team and your week, the better the plan — but it's useful from day one.

Will it change my schedule without asking?

Never. It always shows you a plan first. Nothing happens until you approve it.

What if a client moves a date or someone's out sick?

Tell Coordn8r, and it re-plans everything around the change, fast.

What happens when something starts to slip?

Coordn8r watches every job and flags trouble early — a step with nobody on it, a deadline at risk, a clash on someone's calendar — and shows you a fix ready to approve. You don't go hunting for problems; they come to you.

Can it handle the same kind of job I do over and over?

Yes. Tell it once how a job like that goes and save it. Next time it's a single sentence — Coordn8r fills in the steps, picks who's free, and fits it to the new dates.

Is my team too small / too big?

It's made for teams up to about 20. Smaller is great. Working solo is fine too.

Do I need to connect my calendar?

You don't have to — but it's the single best thing you can do. Then Coordn8r plans around real life, not just work.

What does it cost?

Right now, nothing — Coordn8r is free while it's in beta. Join during beta and you'll also get a stretch of free time after we launch, before any pricing kicks in. When we do set prices, they'll be built for small teams, and you'll get plenty of notice.

Do I have to use the AI?

Not at all. The AI is there to do the heavy lifting — describe a job and it builds the whole plan for you — but you can set things up and run them by hand whenever you'd rather. Coordn8r works with or without it; the AI just saves you the busywork.

What's an “AI request”?

Think of it as one real piece of work — not one message. Having Coordn8r build out a whole project from a sentence is about one request; a quick question or a small tweak counts for much less. So “100 AI requests” isn't 100 back-and-forth chats — it's 100 chunks of real work, which is plenty for most months. And if you're ever getting close to your limit, we'll tell you — we won't cut you off mid-project.

Will I actually keep using it — or is this another tool I'll abandon?

Fair question. Most tools get abandoned because you still have to do all the work in them. Coordn8r is the opposite: it does the planning for you, it's useful from day one with rough information, and it quietly keeps your week current instead of waiting for you to maintain it. And while it's free, there's nothing to lose by trying.

Picture next week. You leave at a normal hour. There's no Sunday-night spreadsheet. When a client asks “can you hit the 14th?”, you know the answer on the spot. When someone calls in sick, Coordn8r has a fixed-up plan ready for you before you've finished your coffee. You're not running the schedule anymore — you're just running the business.
